Executive Travel Analyst

As an Executive Travel Analyst, you will support the Logistics and Global Trade department by managing travel logistics for Robot.com’s executive and leadership teams. Your main responsibilities will include coordinating itineraries, booking flights and accommodations, overseeing transportation and travel documentation, and ensuring an exceptional travel experience for company leaders. You will also assist the logistics team in monitoring travel-related expenses, generating cost reports, and optimizing budget flows to align with the department’s OKRs and KPIs.
The ideal candidate for this position is proactive, detail-oriented, and highly organized, with exceptional communication and problem-solving skills. They should have experience managing executive or high-level travel, strong financial awareness, and a service-oriented mindset focused on excellence and confidentiality. You will operate in a dynamic and fast-paced global environment, where adaptability, cross-functional collaboration, and precision are key to ensuring the success of Robot.com’s leadership mobility operations.

A typical day as a Logistics Assistant might include:
● Executive Travel Coordination: Responsible for planning, booking, and monitoring international and domestic travel for executives and leaders. This includes managing end-to-end itineraries such as flights, accommodations, ground transportation, and travel insurance, while anticipating needs and providing proactive solutions to ensure a seamless travel experience.
● Itinerary & Scheduling Management: Aligns travel plans with executive calendars, meetings, and events to guarantee smooth coordination across departments and time zones. Provides real-time updates and 24/7 assistance for any changes, delays, or emergencies related to itineraries.
● Vendor & Service Management: Liaises directly with premium airlines, hotel partners, and transportation providers to secure high-quality service. Negotiates corporate rates, ensures compliance with company standards, and continuously monitors service quality through follow-up and traveler feedback.
● Financial Oversight & Reporting: Tracks, reconciles, and reports all travel-related expenses, ensuring policy compliance and cost accuracy. Supports the budgeting process and quarterly expense analysis by reviewing invoices, validating bookings, and preparing reports for financial review and audits.
● Compliance & Documentation: Manages visa processes, insurance, and international travel documentation. Ensures all trips comply with global regulations and company policies while maintaining up-to-date records of frequent travelers, travel approvals, and related documentation.
● Traveler Support & Experience: Acts as the main point of contact for executives throughout their journeys. Provides personalized and discreet assistance—from seat upgrades to on-site coordination—ensuring a professional, efficient, and high-quality travel experience at every stage.

● You have a bachelor's degree in Business Administration, International Business, Tourism, or Logistics.
● You have 1–3 years of experience in travel coordination or mobility logistics (preferably for executive profiles).
● You have Advanced English (B2–C1) and excellent communication skills.
● You have a strong organizational, analytical, and service-oriented mindset.
● You have experience using travel management tools and Google Suite.
● You have attention to detail, time management, and discretion are essential.
